The International Myopia Conference (IMC) takes place once every two years and is the premier international congress in the field of myopia. Myopia (nearsightedness) is the strongest growing eye disorder, and is becoming more common and at ever younger ages. Today, about 30% of the world's population is near-sighted and this is expected to rise to 50% by 2050. The aim of IMC 2022 was to exchange knowledge at a scientific level and facilitate the scientific network for participants from hospitals, universities, knowledge institutes and other parties. Participants were mainly ophthalmologists, optometrists and vision researchers. We helped the organisation build a bridge between science and practice.

We were responsible for the entire organisation – from project management to participant registration, and from congress branding and communication to the deployment of a dedicated congress app. For IMC 2022, we put together a project team, led by a senior project manager supported by a project manager, registration manager and project coordinator. All of us went the extra mile to ensure the congress ran smoothly. First of all, we made sure the basics were in place: we advised on setting up a foundation as a legal entity, arranged insurance and offered assistance in drafting a detailed plan of action. In short, we took care of everything for the client and guided the organising committee through the whole process.
Result
Communication prior to the congress was essential to keep (potential) participants informed and interested. In close consultation with the client of IMC 2022, we drew up a promotion plan and schedule. We developed the corporate identity for the congress, set up and managed the congress website, and handled various publicity activities. Beforehand, the client assumed there would be 600 participants, but eventually over 800 attended IMC 2022. The use of our congress app certainly benefited the congress; it was more sustainable, fuelled interaction and saved costs as it required less paper and printing. The app was also connected to abstract management and our registration tool. The online participant registration was also viewed as very pleasant. It was quick, provided insight and the client could observe everything in real time.
