Programme Coordinator

At Congress by design, we believe in the power of knowledge sharing to create a better future together. As a programme coordinator, you play an essential role in shaping scientific conferences. You ensure that scientists and speakers can share their knowledge and that the conference programme is structured and clearly organized.

As a programme coordinator, you are part of a team led by a project manager, responsible for organizing various (inter)national scientific conferences. You are the key figure in abstract management and programme coordination—from the first submission to the final presentation at the conference.

What will you do?

  • Set up and manage abstract submission and review portals in consultation with clients.
  • Guide the entire abstract management process, from submission to acceptance.
  • Maintain contact with authors, scientific committees, and speakers.
  • Compile the conference programme in collaboration with the client and scientific committee.
  • Process abstracts and relevant data into the conference programme, abstract book, conference app, or online platform.
  • Ensure smooth communication with speakers and scientific panels regarding deadlines, session layouts, and presentations.

You will work on multiple conferences simultaneously and be part of various project teams. Congress by design organizes multi-day, international scientific conferences in the Netherlands and abroad. You will interact with participants and speakers from all over the world, making English communication a vital part of your work.

Who are we looking for?

We are looking for an accurate, communicative, and structured colleague who enjoys working in a dynamic environment. Someone who thrives both independently and in a team, and pays great attention to detail.

You're a good fit if:

  • You have a minimum working and thinking level of MBO 4.
  • You enjoy contributing to knowledge sharing at international conferences.
  • You work in a structured and accurate manner and have experience with administrative processes.
  • You are client-oriented and communicatively strong, and you interact easily with scientists and speakers.
  • You have excellent command of both Dutch and English (additional languages are a plus).
  • You preferably live in the region and can commute to Alphen aan den Rijn within 45 minutes. We highly value office collaboration to share knowledge, energy, and creativity, while also considering commuting distance for sustainability purposes.
  • You are available for a minimum of 24 hours per week, with the possibility of working during school hours (except during on-site conferences, both domestic and international).
