Sustainability Manifesto

We are a PCO with a purpose. We aim to be 100% climate neutral internally by 2025 and have set ourselves the goal of organising all our congresses to be climate neutral by 2030. That, of course, does not happen overnight. That is why we have created this Sustainability Manifesto, which provides us with guidelines to achieve these goals. The manifesto consists of seven sustainable principles that help us accomplish our mission. For example, we have developed a compass based on five SDGs (Sustainable Development Goals) to which we commit ourselves; we explore ways to make a congress accessible to everyone and look for various methods of reducing CO₂ emissions. Sustainability begins with a clear vision and concrete objectives from which targeted actions can be taken.

We use five climate goals as our compass

In doing so, we take the United Nations’ climate goals, also known as the Sustainable Development Goals, as our starting point. From the list of 17 global transformation points, we have chosen five goals that suit us best: quality education (SDG 4), decent work (SDG 8), responsible consumption (SDG 12), climate action (SDG 13) and partnerships (SDG 17). These five SDGs align with our business activities, and within this selection, we explore and optimise opportunities for sustainability throughout the entire chain.

We contribute to lifelong learning (SDG 4)

As a PCO with a design approach, we create and organise congresses for a wide range of organisations. We bring people and science together from all over the world to promote knowledge sharing and social progress. As a strategic congress partner, we look beyond the congress itself. What impact does it have on our environment? Are we truly involving everyone? Together with the LOC, for instance, we explore ways to lower barriers for those with fewer financial resources to travel. To ensure equal opportunities, there are, for example, travel grants available, we can offer part of the programme via livestream, or provide discounts based on the standard of living and income distribution in a country.

Lifelong learning is the cornerstone of scientific progress and makes the world more sustainable, healthier, safer, and more inclusive. With the help of our Meeting Design Tool, we consider the underlying question early in the process. It helps to clearly define the congress’s message and target audience. This, in turn, influences the choice of relevant speakers and matching abstract management. Learning is a continuous process. Beyond the congress, this can include providing on-demand content.

We ensure everyone can participate (SDG 8)

For us, sustainability is not only about environmental aspects but also about corporate social responsibility in the broadest sense. A sustainable congress is an inclusive congress, offering opportunities for everyone. We critically assess whether men and women have equal speaking opportunities, require venues to be accessible for people with disabilities, and ensure that our network of partners and suppliers includes companies that employ individuals with a distance to the labour market.

Expanding this network at home and abroad is one of the elements of our roadmap. In addition to an inclusive approach to our congresses, our internal organisation is also structured accordingly. Our HR policy includes clear job profiles, standardised conditions, bilingual communication, and a designated confidential advisor. We also evaluate the contribution to the financial, physical, professional, and social well-being of our employees.

We choose sustainable consumption and production (SDG 12)

Within the entire chain of congresses in an international context, we constantly examine opportunities for sustainability and optimisation. This includes CO₂ emissions, the use of green energy, live and online congress formats, food and catering, waste and disposal. One way or another, a congress has positive impact, because it brings people, culture, and science together; negatively, because it leaves a CO₂ footprint. We can limit this by encouraging smart travel (venues near public transport and with a Green Key label, carpooling, no business class for speakers), offering only vegetarian catering, and using innovative forms of energy generation.

We also work as much as possible with local suppliers and choose seasonal products. Using digital solutions instead of print also helps, and if printing is necessary, we opt for reusing stands and undated designs. Furthermore, we focus on increasing social return, giving back to the earth and/or a specific region or community, by also examining ecological and economic footprints. For example, through a local charity run, we can attract sponsors and support refugees. The possibilities are endless, and it is mainly about awareness and breaking patterns. Using our Sustainability Checklist, we make these issues discussable in an objective and concrete manner.

We invest in sustainable climate projects (SDG 13)

Our first objective is to take on the challenge, together with our suppliers and clients, to minimise the impact of our congresses. That impact begins with us. Every contribution counts, and small steps ultimately make a big difference. We often do more than we realise, and raising awareness starts with enthusiasm—being eager to act and recognising the necessity. Until congresses can operate 100% climate-neutral, we compensate for the remaining CO₂. We do this by investing in the climate and reforestation projects of FORLIANCE, an organisation that achieves Net Zero Carbon targets through its climate projects. In 2022, we entered into a partnership with them and now support projects in Panama and Indonesia. These compensation projects not only contribute to forest restoration but also protect biodiversity and improve the livelihoods of local communities.

We are a strategic partner for sustainable growth (SDG 17)

Sustainability is a shared effort. It is co-creation, a partnership. It is about sharing knowledge and taking responsibility. In all areas, we add value with clear criteria, creative solutions, facilitating Meeting Design sessions, and sharing our expertise. We always engage with our clients on how to achieve sustainable growth and optimisation for and with their organisation. We often work side by side for months or years, and as a core PCO, we can make real improvements in sustainability and efficiency. We also critically review our collaboration with suppliers. Here too, our goal is 100% climate neutrality by 2025. As a PCO with a purpose, we explore how this can be achieved in a feasible and practical way.
